Cancellation Policy

In order to pay our therapists fairly, we require 24 hours to cancel or reschedule an appointment with no cost. Any appointments cancelled or rescheduled less than 24 hours before the appointment start time will be charged the full price of the service.

At Bodyworks DW, we strive to give the highest level of medical care to our clients. When a client books a session, they are confirming a business agreement to reserve time to work with our expert staff.

Since our therapists are paid on commission, last minute cancellations have a direct affect on their income. In addition, with less than 24 hours notice, it is far less likely that another client will be able to book into that reserved time slot. Therefore, late cancellations affect our ability to complete our stated mission of helping people.

Here are some examples of situations for which you will be charged for late cancellations. While we understand that many of these situations will be out of your control, please understand that they are also out of our control. Therefore, we ask that the client absorb the impact for the late cancellation so that we can pay our therapists for the lost session.

  • Work emergency
  • Child care provider cancels
  • Flight is delayed
  • Traffic or subway issue
  • Weather (as long as the subways are running, we are open)  

Some suggestions for ways to handle and/or prevent situations that arise:

  • Send a friend or family member to take the session in your place
  • Rearrange that last minute work meeting
  • Tell work that you have a doctor’s appointment
  • Ask your child care provider to give you adequate notice for changes
  • Try not to book a massage for shortly after a flight
  • Try not to stress about traffic….arriving late and having a great 40 minute massage is still far better than paying for no session at all

Late Arrival Policy

If you arrive late for your appointment we will need to end the appointment at the time it was originally scheduled to finish at. This is so that our therapists can prepare their treatment rooms for the next client and start the next client’s session on time.

A note about gratuities

The massage therapy that we practice at Bodyworks DW is medical and therapeutic massage, as opposed to luxury massage. Our intention is to have a long-term impact on the way you feel, instead of giving a garden variety massage that feels good for a day or two then disappears.

Therefore, like your doctor, we have set our prices to a flat rate and don’t require gratuity. If you’d like to leave a tip for your therapist we will gladly accept it, but it is neither expected nor necessary.

You will be presented with a tipping screen during the checkout process where, if you’d like to leave a tip, you can. We strongly encourage you to choose the option that makes most sense for you. The ‘no tip’ button appears as an option below the tip amount buttons.

Package Policy

When you purchase a package, you are purchasing massages with a specific level of therapist and a specific length of session. Once a package is purchased it is up to the client to book sessions with said level therapist for the correct amount of time. Our packages are not flexible. If you choose to book a session with a different level therapist or book your session for a different length of time, you’ll be expected to pay for the session directly.

After a studio wide rate increase, you will have 12 months to complete a previously purchased package series. After this 12 month period, the package will no longer be valid at the previous rate. You are then required to upgrade your package or purchase a new package. A maximum of 1 package can be used at the previous rate.

If your therapist is promoted (example: your therapist is promoted from staff level to senior level), you can continue to use your previously purchased package at your therapist’s old level for up to 6 months. After this 6 month period, you will be required to either upgrade your package, or purchase a new package that correlates to the therapist’s promoted level. A maximum of 1 package can be used at the therapist’s old rate.

We accept cash and all major credit cards

Please note that you are welcome to pay in cash for appointments, however we require current and valid credit card information on file for all clients in order to be able to enforce our late cancellation policy. Rates are all-inclusive and staff therapists are compensated with a higher commission on services. Additional gratuities for exceptional service are appreciated but are neither expected nor necessary.
