Cancellation Policies for Massage Appointments

Important: Any appointment canceled, modified, or rescheduled with less than 24 hours notice will be charged the full appointment cost to the credit card on file. 

Bodyworks DW has a strict 24 hour cancellation policy that requires all of our clients to pay for the time they reserve on our schedule. By providing your credit card information you are confirming that you are aware and agreeable to this policy. In order to remain fair, we enforce this policy consistently with all of our clients, regardless of if they are brand new to our studio or longtime regulars. 

That said, we do allow exceptions for illness, loved one’s death, and life and death emergencies. In some cases, we may ask for documentation, such as a doctor’s note, to avoid the fee. 

However, personal emergencies such as babysitters canceling, last minute work obligations, and transportation issues are still subject to the cancellation charge. 

Overall, we require our clients to absorb the financial impact of whatever happened in their personal life that caused them to miss their appointment. We ask all of our clients to accept that these circumstances are outside of Bodyworks DW’s control and it would be unfair to expect your therapist to take a financial loss on your behalf.

When a client cancels with less than 24 hours notice it is often difficult to fill their vacated spot with a different client. This directly impacts your therapist’s income and Bodyworks DW’s ability to cover our standard business operating expenses. The reality is that a business that relies on appointments cannot stay afloat if clients do not pay for the time they reserve.

If a client wishes to change to a different therapist with less than 24 hours notice we consider that to be a late cancellation of your first appointment. Per our policy, you would be charged for the cancellation before being scheduled with the other therapist. This ensures that both therapists will be compensated for the time you reserved on their schedule.

The same rules apply for clients wishing to come at a later time than originally scheduled, even if they are staying with the same therapist. With less than 24 hours notice, it will be more difficult to fill the earlier vacated appointment than the later appointment time. Clients who choose to do this will be required to pay for both appointment times.

If a client wishes to move their appointment to an earlier time with the same therapist we will do that at no charge, subject to availability. It is more likely that a different client will snap up the later time you vacated, but the sooner the appointment time the more difficult it is to fill.

However, this is only fair if the client is staying with the same therapist. If not, the client would be charged for both appointment times.

Clients wishing to shorten their appointment from 90 minutes to 60 minutes will be required to pay for the original 90 minute appointment booked, Clients wishing to extend from a 60 minute to a 90 minute appointment with the same therapist can do so subject to availability.

The blunt and truthful answer is that clients who disrespect our business and staff by threatening never to come back if we enforce our cancellation policy cost us both money and time. We are not interested in continuing to work with clients who use threats as an attempt to bully our business into giving them special treatment by waiving our policies. The reality is that clients who try to get out of paying for their reserved time are a financial liability who we are not interested in retaining as a client.

If, for whatever reason, we are unable to collect payment from a client for a cancellation, Bodyworks DW will take a financial loss since we make sure that our therapist gets paid for the missed session and doesn’t lose the income. Any client who puts us in this situation is not welcome back.

Clients who are disrespectful to our staff by using abusive language, yelling, speaking over them, etc will be immediately banned.

Clients who threaten to dispute a late cancellation charge or are otherwise disagreeable to our policies will be banned.
Ultimately, it is part of our mission statement to create a studio where everyone has a great experience. For sure, we want you as clients to have a great experience working with us and getting valuable relief from pain and stress. We also want our therapists, support staff, and owners to have a great experience working with you. In order to ensure a supportive and productive environment, we need all of our clients to be agreeable to our policies in order to schedule with us.

Cancellation Policies for CEU Courses

If you are registered for a CEU course, but can no longer attend, the following cancellation parameters apply:

  • 14 days notice is required for a full refund to the original form of payment
  • 7-13 days notice is required to have your payment transferred to a credit for a future Bodyworks DW CEU course
  • No refunds or credits will be given for CEU courses canceled with less than 7 days notice

Cancellation Policies for Treatment Room Rentals

Bodyworks DW will sometimes rent our treatment rooms to practitioners of modalities other than massage therapy (acupuncture, etc). If you are renting a treatment room from us the following cancellation rules apply:

  • Rentals must be canceled/modified with at least 24 hours notice to avoid a late cancellation charge.
  • Renters are responsible for paying the full amount for the time reserved, even if they end up not using the entire time.
  • Bodyworks DW is not financially responsible for cancellations made by a renter’s personal clients that cause them to not use the full amount of time reserved.

Cancellation Policies for Classroom rentals

Bodyworks DW will sometimes rent our midtown classroom to instructors for courses, workshops, and classes we approve. If you are renting our classroom from us the following cancellation rules apply:

  • 14 days notice is required for a full refund to the original form of payment
  • 7-13 days notice is required to have your payment transferred to a credit to use our classroom in the future
  • No refunds or credits will be given for classroom rentals canceled with less than 7 days notice
